Using Fingerprints on TimeWorksTouch

TimeWorksTouch includes a built-in fingerprint scanner for employee authentication.

This article explains how to enable the clock’s biometric functionality, the process for enrolling prints and the following topics:

Enrolling Employee Prints

Before enrolling an employee's fingerprint in TimeWorksTouch, they must be setup in the timekeeping system. Unlike our other biometric clocks, TimeWorksTouch requires an Employee Setup record for enrollment. However, the employee does not need a clock pin to be enrolled in TimeWorksTouch.
 
Also, TimeWorksTouch must be connected to the internet for fingerprint enrollment.

Enrollment Steps

Admins and supervisors can enroll an employee's fingerprint with the following steps:
  1. On the clock entry screen, tap the gear icon at the top right corner. (This should not be confused with Device Settings gear icon, which you may see if you exit the TimeWorksTouch app.)
  2. Enter the same username and password you use to login to the timekeeping system as a manager. (SwipeClock partners can use their Accountant-level credentials as well.)
  3. Select the Fingerprints tab.
  4. Tap Add employee fingerprint.
  5. Select the employee by name. (An on-screen keyboard can be used to narrow the search.)
  6. Tap Continue.
  7. TimeWorksTouch will prompt the employee to place their fingerprint on the scanner. A beep will indicate that the fingerprint has been successfully scanned and the employee should then remove their finger.
  8. The employee's finger will be scanned two more times in the same manner.
  9. After three successful scans, TimeWorksTouch will confirm the enrollment with a pop-up message.
  10. You can choose to either enroll another employee's fingerprint or tap Nevermind to return to the clock entry screen.
TimeWorksTouch can only enroll one fingerprint per employee. If you try to enroll the same employee a second time with a different fingerprint, TimeWorksTouch replaces the original fingerprint with the new one.

NEW: Change Fingerprint Accuracy

An update in May of 2019 now allows you to adjust how strictly TimeWorksTouch matches an employee's fingerprint when punching in and out.
 
There are three levels of accuracy:
  • Most Accurate- The default setting that has little, to no risk of adding a punch to the wrong time card.
  • Less Accurate- This middle setting does better at recognizing faint or smeared fingerprints. It may also improve the speed at which TimeWorksTouch matches a fingerprint. However, it does increase the risk of adding punches to the wrong time card.
  • Least Accurate- This setting is not recommended. It has the greatest risk of adding punches to the wrong time card.

Changing Fingerprint Accuracy

IMPORTANT: Adjusting from the default, Most Accurate setting, to one of the less accurate settings increases the likelihood of mismatched punches.
  1. On the clock entry screen, tap the gear icon on the top right corner to access the Settings menu. (This should not be confused with the Device Settings, which you may see if you exit the TimeWorksTouch app.)
  2. Login with the same credentials you use to login to the timekeeping system as a manager. (If you are a SwipeClock partner, you can use your Accountant-level credentials as well.)
  3. Select the Fingerprints tab.
  4. Tap Change Fingerprint Accuracy.
  5. Select your desired accuracy setting.
  6. Tap the X at the top right corner to exit the page. Your changes will be saved.
Once you change the accuracy, TimeWorksTouch enforces those settings on all punches moving forward. You do not need to re-enroll fingerprints after changing the accuracy.

Enabling and Disabling Biometrics

TimeWorksTouch can identify employees by one of three methods: PIN, proximity card and biometric scan. The clock comes with all three options enabled. If for some reason the option has been disabled, follow these steps to enable:

  1. From the clock entry screen, tap the Settings icon at the top right of the screen. It’s identified with a gear icon.
  2. Login with your timekeeping login and password. You must be a client or accountant level user to enable the fingerprint scanner; supervisors cannot enable this feature.
  3. Select the Clock Settings tab

  4. Toggle the Biometric Scan option to ON (green)
  5. Tap X button to exit the settings and return to the clock entry screen
To disable the biometric option, follow the same steps as above and toggle off the Biometric Scan.

Syncing Fingerprints to Multiple Clocks

Fingerprints enrolled on a TimeWorksTouch clock will be synced to other TimeWorksTouch clocks* on a site. This process is automatic and involves the enrolling clock uploading the fingerprints to our severs. Then, any additional clocks on the site will download those prints. This happens within moments of fingerprint enrollment but, does require the clock to be connected to the internet.
 
While not necessary, if you want to manually synchronize fingerprints after enrollment, follow these steps:
  1. From the clock entry screen, access the Settings Page with the gear icon at the top right of the screen
  2. Login with your timekeeping credentials
  3. Choose the Fingerprints tab. It may already be selected.
  4. Select Sync Fingerprint Data
*Fingerprints enrolled on TimeWorksTouch are not compatible with our other biometric clocks. Conversely, if employees are enrolled on a different biometric clock, those print templates are not compatible with TimeWorksTouch.

Viewing Enrollment Status of Employees

Prints enrolled on TimeWorksTouch will appear on the Biometrics Maintenance page of the timekeeping system.

Removing Terminated Employee Prints

There is no reason to delete prints when an employee is terminated. When an employee is given an end date in Employee Setup, they will no longer be able to clock in or out on TimeWorksTouch.

If an employee is rehired, they can use the clock once again once their end date is cleared out in Employee Setup.

How Do I Require an Employee to Use a Fingerprint?

There are two ways to require employees to use a fingerprint, depending on your process:
  • If all employees are required to use a fingerprint, turn off the PIN and Prox options on the Clock Settings screen.
  • If some employees are required to use a fingerprint, then make sure those employees do not have a number of any sort entered in the Logins section of Employee Setup.

    This employee will have to use their print to clock in and out
    Those numbers can be used by the employee in place of their fingerprint and allow buddy punching. An alphanumeric login prevents the employee from buddy punching while still allowing them access to Employee Self Service.

What if I Don’t Want an Employee to Use Their Fingerprint?

If you have PIN or Prox enabled on TimeWorksTouch, employees can use those methods in place of an enrolled fingerprint. Simply enter the card number, or PIN, in one of the first 3 fields in the Logins section of Employee Setup.
