Turning On the New Employee Portal

Enabling the new Employee Portal for a client is done in the ESS Rule. This article explains the steps and also explains some differences of which you need to be aware. It also points out some reasons why you may not want to enable the Employee Portal for certain clients.

Turning on the new Employee Portal is a requirement for use of TimeWorksPlus Employee, our new mobile app.

Enabling the New Employee Portal

If you wish to enable the Employee Portal for all your clients at once, please contact your Channel Development Manager.
  1. With your Accountant Level Login, navigate to the ESS Rule. The click path is Settings Menu ⇒ Client Configuration ⇒ ESS tab.
  2. Near the bottom of the page, check the box labeled New Employee Portal and TimeWorksPlus Employee Mobile.
  3. Click Save.

Important Differences Between the New Employee Portal and the Legacy ESS

Once you enable the new portal, you will see some changes on the ESS rule page. Most notably, you will notice that the Available Pages check boxes at the top of the page are grayed out (see image below). Do not be alarmed if the checked pages do not correspond to the settings you need for your client; those check boxes only apply to the legacy ESS, not the new Employee Portal.

For example, even if the client is not using WebClock at all, and it has been disabled for the site, you may still see the "WebClock" option checked under Available Pages. If the client is using WebClock, then any employee with WebClock Enabled in their Employee Setup will be able to access the WebClock through the Employee Portal.

Reasons Not to Enable the New Employee Portal

The Employee Portal and TimeWorksPlus Employee will be evolving in the coming months. As of this article being published on November 9th, 2018, we have identified some gaps in functionality that would prevent certain clients from benefiting from the new Portal/Mobile app at this time:
  • Client's that allow employees to edit their time card and use the Time Card Approval edit restriction. At this time, the ability for an employee with edit permissions to be locked out of the time card based on the approval status has not been carried over to the new portal and mobile app.

    If your client has either of these options checked in the Time Card Approvals rule:
    • When checked, employee editing is disabled for the previous pay period's approved punches.
    • When checked, employee editing is disabled for all approved punches.
Then it would be best to wait before enabling the new Employee Portal.

Clients using the approval lockout feature should not enable the new portal at this time
  • Clients using the BambooHR integration. Technically, there is no functional difference between the ESS and the Employee Portal for Bamboo users, but an employee will see the TimeWorksPlus time off request feature in the Employee Portal even though they should be requesting time off through the Bamboo portal. This may cause some confusion for employees as to which time off request feature to use.
  • Clients using the bulk employee "clock in" feature on the TimeWorksPlus Mobile app. Our legacy mobile app gave supervisors the option to punch the clock on behalf of certain employees. This functionality still exists in the legacy mobile app, but if you enable the new Employee Portal, then, at this time, employees will be able to punch in and out via the new TimeWorksPlus Employee app.
