Employee Portal Settings

TimeWorksPlus's Employee Portal provides access to time and attendance features for your client's employees. What the employee can see and do in the Portal is based on the site's ESS rule and other account settings. This article explains how to configure the Employee Portal and what features are enabled by default.

Accessing the Employee Portal

All employees with a login and password in TimeWorksPlus have access to the Employee Portal. At minimum, the portal will show them their time card and personal information (email, phone, etc.) Any additional features (time off requests, scheduling, etc.) are dependent on certain account settings.

To login to the Employee Portal, you can provide your client either a branded URL, which they can give to their employees, or use our generic portal login page:

WebClock vs. Portal
The WebClock and Employee Portal share the same URL. However, if WebClock isn't enabled for the site/employee, the WebClock button will not work for them.
Can I Turn Off the Employee Portal?
No, the Employee Portal cannot be disabled for a site. This feature is enabled* for every employee in TimeWorksPlus with a login and password. The only way an employee can be prevented from accessing the Employee Portal is to remove their password from Employee Setup, however, this will prevent the employee from clocking in on WebClock or the mobile app.
*Prior to the release of our new Employee Portal, the ESS could be disabled at the site level.

Features of the Employee Portal

An employee has access to the following in their TimeWorksPlus Employee Portal:
  • Time Card – Enabled for all employees.
  • Personal Information – Enabled for all employees.
  • WebClock – Only if WebClock is enabled in in Employee Setup.

    Employees can be given the ability to clock in with WebClock in Employee Setup
  • Schedule – Only if either basic scheduling or TimeSimplicity is enabled for the account.
  • Request Time Off – If any pay type in the Punch Category rule is set to "Yes" in the Time Off Requestable column.

  • Accruals Report – If any accruals rules are enabled on the account.

View and/or Edit Notes

Notes are optional in the Employee Portal
Notes on the time card are hidden from the employee by default, but you can choose to show the notes, or even allow employees to add notes themselves by using the Note Options in the ESS Rule.

Configuring an employee's Note options is done in the ESS Rule
  1. Click Settings Menu ⇒ Processing Rules.
  2. Select the Processing category.
  3. Choose ESSRule from the Search Results.
  4. Use the radio button under Note Options to enable the desired Note configuration for the account.

Time Off Request Calendar

This calendar appears when an employee's proposed time off request conflicts with a co-worker in the same department. You can enable this in Account Configuration.

Time off conflicts within a department can be enabled in Client Configuration
  1. Click Settings Menu ⇒ Client Configuration ⇒ Account Configuration tab.
  2. At the bottom of the page, turn on the toggle labeled Department time off visibility to employees.

Time Card Editing by the Employee

Selected employees can self-edit their time card. If you would like to enable this feature for your client, follow these steps:
  1. Click Settings Menu ⇒ Processing Rules.
  2. Select the Processing category.
  3. Choose ESSRule from the Search Results.
  4. Check Employee Time Card Edit.

    The ability for an employee to edit their time card is enabled in the ESS rule
  5. Use the employee selector  to configure which employees should have the time card edit permission.
IMPORTANT: Employees may not have all the same edit functionality as managers. This may include editing and adding amount categories on the time card depending on the account.

Hiding Punch Audit and Comments

Comments made by the manager will be visible to the employee by default. These comments, as well as the edits made to punches, will be visible if the employee when they view the details of the punchset.

Employees will see (1) any changes made to their punches as well as (2) comments made my managers
If your client wants the visibility of the comments disabled, follow these steps:
  1. Click Settings Menu ⇒ Processing Rules.
  2. Select the Processing category.
  3. Choose ESSRule from the Search Results.
  4. Check Hide Punch Audit and Comments.
There is no way to hide a record of edits from the employee.

Hide Unrounded Times

The ESS Rule at one time allowed clients using rounding to only show unrounded to employees. That functionality has been disabled in the new Employee Portal and now, if a client rounds punch times, the employee will see those rounded times on their time card.
