Pre-Defined Manager Roles in TimeSimplicity

TimeSimplicity allows for a great deal of customization regarding the permissions given to a manager. However, the system now also provides four predefined managerial roles that can be assigned to users. These roles are visible in System > Roles and are identified as the Role Type Supervisor. A Supervisor Role Type in TimeSimplicity means the role is designed for users needing access to managerial functions in TimeSimplicity.
 
This article explains the permissions tied to each role. These roles do not have any connection to the manager permissions in TimeWorksPlus, but this article also points out how these roles relate to Supervisor and Client level logins in TimeWorksPlus.
 

 
The integration does not assign roles to users in TimeSimplicity. For information on how you assign a role to a manager in TimeSimplicity, please see Setting Up Managers in TimeSimplicity.

Default Role Descriptions

The following is an explanation of these four preset roles, including a list of what they can and cannot do within TimeSimplicity.

View Only

A user with this role cannot schedule employees, but they do have access to the Schedule All View. It works best for employees that may need to print Workgroup schedules or view schedule details beyond what they can see in the Employee Portal.

Manager

This role would generally be assigned to a supervisor in charge of scheduling for one or more Workgroups. The user will have access to most of the schedule views and they can also change some employee data, but only if that employee is a Home member of their Workgroup(s). This role is most often used for Supervisors in TimeWorksPlus.

Admin

This role works for the select few in a company that need access to some of the more administrative functions of the system. It could be used for an HR manager or someone tasked with managing the schedule process for all users. They will have access not only to all employees and Workgroups, but also the rules associated with the company itself. This role most likely should be used for Clients in TimeWorksPlus.

TS Maint

SwipeClock Partners should use the TS Maintenance role for their own login to TimeSimplicity. It will allow them to have these additional permissions.
  • Org Setup - Organization Levels define the structure of the scheduling process. It is the way Locations, Positions, Shifts and other scheduling data is used in TimeSimplicity. Since this should be defined during setup and rarely adjusted after that, it is generally a permission not given to a client.
  • Order Setup - These Candidate Orders dictate which employees are prioritized when a user looks for an employee to work a schedule. It is something that should be configured during setup and rarely adjusted after that.
  • Code Alert Setup - Configure the rules related to Certification alerts
  • Role Setup - Role setup is a way to define a set of manager or employee rules that can be applied to users.
  • CSV Import/Export Setup - This feature allows you to configure rules for importing data with a spreadsheet. Since not all data essential for scheduling is found in TimeWorksPlus, the CSV Import functionality allows you to add data in bulk.
  • CSV Import - Once a CSV Import format is created, you will need access to this permission to actually run the import.
  • TWP Integration Setup - This allows you to configure the mapping of TWP fields to TimeSimplicity as well as the interval at which the integration runs.
